Terms and conditions
1) Booking
a) A 50% deposit is required upon booking.
b) Your booking will be confirmed via email when we have received your deposit or payment in full.
c) Your deposit is non refundable and the remaining balance must be paid in full 7 days prior to the event date.
d) Changes to date, time or venue must be communicated to us with at least 72 hours' notice and all date or time changes are subject to availability.
e) Illuminate Arts reserves the right to cancel your booking and retain your deposit should the balance remain outstanding less than 7 days prior to the event
f) If no free parking is available at your chosen venue, Parking costs for our entertainers are covered by you as the customer and are as follows; 1 hour £3, 2 hours £5, each additional hour £2. 
g) You as the customer will allow Illuminate Arts suitable time for the installation and dismantling, and removal of equipment (normally 30 minutes). Where appropriate, the customer will arrange with the management of the Venue to allow suitable time for the installation and dismantling, and removal of equipment. We will not be held responsible for delays in commencement of the event due to lack of set up time, by no fault of our own. 
2) Cancellation
a) If you must cancel your party, you may do so at any time. However, your deposit will be non refundable.
b) If a cancellation is made more than 72 hours before the scheduled party, any amount you have paid above the required 50% deposit is refundable.
c) In the event of a cancellation made less than 72 hours before the scheduled event, the entire amount is non refundable. You may reschedule your date subject to availability and at the discretion of Illuminate Arts.
d) If you wish to cancel a party or event, notice must be given in writing and you must have received an email acknowledgement back. Please note we cannot accept messages left on voice mail as notification.
e) If for any reason we have to cancel a party due to extreme weather conditions, serious illness, riots, Act of God, or other unforeseen emergencies then any monies paid would be fully refundable, including deposits.
f) In the event of extreme weather conditions, then you can cancel our services and get a full refund on the deposit but only if your entertainer is unable to get to the event. If the entertainer is able to get to the event and you still cancel then the deposit is non refundable. We can however reschedule your party to a later date subject to availability.
g) We reserve the right to refuse a booking or to cancel an existing booking for any reason. This includes but is not limited to any abusive or threatening behaviour by the booker or guests, or if we determine any risks to our entertainers.
3) Safety 
a) Only Illuminate Arts entertainers and staff are permitted to enter the area behind our retractable barriers, this is to ensure the safety of our electrical equipment and to avoid injury to you or your guests. 
b) A parent or guardian must supervise the children at all times during the party and intervene in the event of any accidents or incidents that may arise.
c) Our entertainers have the right to refuse service to any person that may be inebriated or acting in a way that can pose a threat to children's safety.
d) All electrical equipment is PAT tested or brand new to ensure safe usage. 
e) We retain the right to stop certain activities if we feel the children are not responding appropriately, or are too riotous risking their own safety.

4) Liability
a) Illuminate Arts will not be held responsible for any injuries that occur during the party or event, nor are we responsible in any way for the welfare of the children both partaking and observing in any activities.
b) Whist all Illuminate Arts leaders are DBS checked, children must not be left unattended with our leader at any time. Illuminate Arts leaders are there solely to entertain the guests and whilst good behaviour will be encouraged, they can not mediate in any accidents or incidents that may arise. It is the responsibility of the adult party host, parent or an accompanying adult to oversee the actions of both partaking or observing children and intervene accordingly. 
c) Our liability is limited to the total amount paid for the party package only.
d) It is your responsibility to determine that your chosen venue has a music licence for your party or event.
e) Illuminate Arts do not provide any food or beverages to guests and take no responsibility for any food or beverages consumed by your guests.
f) Illuminate Arts does not accept any liability for the non completion of any event or delays that arise as a result of:
·         Bad weather
·         Loss, damage or cancelation due to fire, floods or any other causes beyond it’s reasonable control
·         Failure of the entertainer to arrive due to circumstances beyond their control
·         State funerals and days of public mourning
·         Strike action
g) Illuminate Arts provides public liability insurance of £5 million pounds. Copies of and/or original Portable Appliance Testing (PAT) and Public Liability Insurance (PLI) certificates will be supplied to your venue free of charge. Should your venue require these please let us know when making your booking, so we can make arrangements with the venue.

5) Additional Guests
a) Additional guests over the number of 30 will require a second entertainer and will incur an extra fee that must be paid in full prior to the event. More than 30 children will make it difficult for one entertainer to give enough individual attention to each guest, meaning the quality of your party is compromised. 
b) Additional entertainers are subject to availability when added as an addition to a booking and can therefore not be guaranteed. 
c) Should an entertainer arrive to an event that has over the number of 30 children, without Illuminate Arts being notified that an additional entertainer is required, you will be charged an additional £40 payable in cash to our entertainer on the day, before the party commences. Our entertainer reserves the right to refuse facilitating the event should you withhold any payment and you herby forfeit any monies paid in full.
 
6) Cleaning and Damage
a) Any damage to Illuminate Arts equipment as a result of negligence by yourselves, any member of your party, or third party will result in an invoice being sent for the market value of replacement of the damaged equipment, along with any hire charges incurred whilst a replacement is sought. This invoice must be paid within 7 days.
b) Illuminate Arts are not responsible to pay for any damages caused to the venue or property by your guests. Nor are they responsible to notify your venue of this.
c) Illuminate Arts are not responsible for cleaning up any mess created by your guests during the party, with the exception of any mess created by any props provided by Illuminate Arts.
 
7) Photography and Video
a) We may take digital photographs and/or video throughout your event for use on our website, social media and further advertisements. Should you not wish for any photographs and/or video to be taken, please let us know in writing prior to the event.
Disclaimer
Illuminate Arts do not offer any licensed, trademarked or copyrighted characters. All characters are generic and based on either original fairytales or original written material. It is not the intention of Illuminate Arts to violate any copyright laws. We will only accept bookings from clients who understand this. Any client wishing to book a licensed character must contact the copyright holders.
